Job Title: Office Manager
Status: Part time, 30 hours/week
Reports to: Board of Directors
Begins March 2012
Qualifications:
- Minimum two years experience with office administration;
- Knowledgeable and experienced with school office procedures,
- Knowledgeable and experienced with Apple computer systems,
- Knowledgeable and experienced with Quick Books and accounting procedures.
- Warm personal presence.
- Preferred: Understanding of Waldorf education
Responsibilities:
Implement compliance with federal, state and local agencies, including but not limited to:
- Completeness of student files and records (see student file checklist)
- Completeness of teacher files and records (see new hire checklist)
- Monthly fire drills, schedule with teachers and keep records
- Conduct fire drill and safety trainings for new employees
- Schedule and keep records of yearly inspections by Fire Marshall and Health Department
Maintain school computer files :
- Maintain files, documents and forms on school computer
- Update and publish student directory in August for distribution to families
- Update new contacts on Google master list document and Constant Contact
- Create mailing lists and labels for group mailings as needed
- Create school monthly newsletters on Constant Contact
- Create student files notebook for Nature Fridays
Correspondence/communication:
- Answer the telephone and direct messages to appropriate persons
- Check the school email daily and answer or direct to appropriate others
- Write, have signed and send thank you letters for donations and contributions of goods and services to the school
- Support mailings by the Fundraising committee
- Support mailings of holiday cards to school community
Enrollment support:
- Connect new inquiries with a member of the enrollment team
- Conduct tours of school and provide enrollment materials to new families
TADS Admission Management:
- Manage the TADS admissions, enrollment, agreement and billing agreement process for the school
- Monitor student enrollment progress on TADS and support families with completion of documents on TADS
Financial:
- Enter deposits, checks and withdrawals on Quick Books by the end of each calendar month
- Balance monthly bank statements
- Prepare reports as necessary
- Write checks for signature by Board president/treasurer
- Pay school bills
- Prepare deposits, issue receipts and procure written invoices/statements/receipts for each check and bank draft
- Issue cash disbursements under $20 with proper forms; balance cash box weekly.
Volunteer/visitor Coordination:
- Work with parent volunteers in the office
- Assure all visitors sign in and communicate with them
Facility Maintenance:
- Manage school lending library
- Assure cleanliness and organization of the office and entrance area
- Order office and cleaning supplies as needed
- Manage school store
Other duties:
- To be with children in the office when they are waiting for a parent to pick them up, such as when they are sick and cannot be in the class
- To be with children in the classroom if a teacher must step out temporarily
- As requested by the Board of Directors
Salary and Benefits:
Starting working hours: ~30 hours / week for 46 weeks
Starting pay: $12/hr.

Azalea Mountain School, Inc. is a private school based on Waldorf education. The school opened in Aug. 2011 with 38 children in Kindergarten, first/second grade and third/fourth grade.
